1. Who we are

BitaLeaf (“BitaLeaf”, “we”, “us”) provides clinic management software for homeopathy practices and other small clinics, covering patient records, prescriptions, appointments, billing and WhatsApp-based reminders.

2. Information we collect

We process two broad categories of data:

• Account data — clinic name, doctor and staff names, email, phone number, and billing details, provided when a clinic registers on BitaLeaf.
• Patient data — entered by the clinic into BitaLeaf, including patient names, contact details, case history, prescriptions, appointment records, uploaded photos and documents, and billing records. This data belongs to the clinic; BitaLeaf processes it solely on the clinic's behalf and instructions.

3. How we use information

• To operate and maintain the clinic management platform.
• To send appointment and follow-up reminders via WhatsApp or SMS on the clinic's behalf.
• To provide customer support and respond to enquiries.
• To improve platform reliability, security and features.
• To meet legal and regulatory obligations.

4. Data storage and security

All data is encrypted in transit and at rest. Each clinic's data is logically isolated and accessible only to that clinic's authorized staff and to BitaLeaf personnel who need it to provide support, under confidentiality obligations.

5. Data sharing

We do not sell clinic or patient data. We share data only with service providers that help us run the platform (e.g. hosting, WhatsApp/SMS delivery), under contracts that require them to protect it, or when required by law.

6. Data retention and export

A clinic can export its data at any time from account settings. If a clinic cancels its subscription, its data remains available for export for 30 days, after which it is deleted from active systems.

7. Your rights

Clinics and patients can request access to, correction of, or deletion of their personal data, subject to applicable law (including India's Digital Personal Data Protection Act, 2023), by contacting us at support@bitaleaf.com.

8. Changes to this policy

We may update this policy from time to time. Material changes will be communicated to registered clinics by email or in-app notice.
